Dispute Policy

Qubitro, Inc. ("Qubitro", "we", "us", "our") wants billing to be predictable and billing problems to be rare. This policy explains how subscription charges work, when we issue refunds, and how to raise a billing concern with us.

This policy supplements our Terms of Service. Where it differs from the Terms on the subject of refunds or billing disputes, this policy controls.

1. Cancellation

You can cancel a paid Subscription at any time from the billing section of your Qubitro account, or by emailing support@qubitro.com.

  • Cancelling stops all future renewals. There is no cancellation fee.
  • Your plan remains active until the end of the billing period you have already paid for. We do not cut off access on the day you cancel.
  • Once the paid period ends, the account moves to the free tier. We do not delete your data as part of cancellation; data retention follows our Privacy Policy.

2. Refunds

Subscription fees pay for service that has already been delivered, so fees for an elapsed billing period are generally non-refundable. We do, however, refund in full in each of the following cases:

  1. Duplicate charges. If you were charged more than once for the same billing period, we refund the duplicate in full, always.

  2. Billing errors on our side. If you were charged the wrong amount, charged for the wrong plan, or charged after a valid cancellation, we refund the difference or the full amount as applicable.

  3. Unintended renewals. If an automatic renewal caught you off guard, contact us within fourteen (14) days of the charge. If the service has not been substantially used during that period, we refund the renewal in full.

  4. Annual plans. Within thirty (30) days of an initial annual charge, we refund the unused portion on a pro-rata basis, calculated by whole remaining months.

Requests that fall outside these cases are reviewed individually and in good faith. If something has gone wrong with your billing, tell us — we would rather fix it than leave you unhappy with the outcome.

3. Service credits for downtime

Refunds are separate from availability remedies. If the platform fails to meet the uptime commitment in our Service Level Agreement, the remedy is a service credit under that agreement, claimed within the window it specifies.

4. How to raise a billing dispute

Email support@qubitro.com with the subject line "Billing dispute" and include:

  • the email address on the Qubitro account,
  • the date and amount of the charge, and
  • the invoice or receipt number, if you have it.

Our commitments once you do:

  • We acknowledge every billing dispute within two (2) business days.
  • We aim to reach a resolution within five (5) business days. If a case needs longer, we tell you why and give you an expected date.
  • Approved refunds are returned to the original payment method. Your bank or card issuer typically takes a further 5–10 business days to post the funds.

5. Please talk to us before contacting your bank

If a charge looks wrong, contact us first. Nearly every billing problem we see — a duplicate charge, a forgotten renewal, a charge someone on the team did not recognize — is something we can resolve faster than a formal card dispute, and without any interruption to your service.

Filing a chargeback without contacting us first may result in the account being suspended while the card network processes the dispute, which can take several weeks and affects any devices and integrations running on that account. Emailing us is faster and keeps your service running.

6. Taxes

Where VAT, sales tax, or an equivalent tax was charged on the original transaction, any refund we issue includes the tax originally collected on the refunded amount.

7. Changes to this policy

We may update this policy. Material changes take effect at the start of your next billing cycle, and the effective date above will reflect the change. Charges already made are handled under the policy in force at the time of the charge.
